Claire Kelson Photography Covid-19 Pandemic Contactless School Photography
In light of the UK government guidelines issued to all schools and nurseries following the outbreak of Covid-19 I have been adapting the way that I work in order to be able to continue my service. As a priority Claire Kelson Photography is committed to keeping its staff members, the children I capture, and associated teaching staff safe. I have developed a series of robust measures in order to protect our schools and nurseries. A full list of measures that implemented into my workflow can be read below.
I have been working very hard behind the scenes to develop a contactless workflow process which allows me a way to capture, individual, graduation, and group photography with:
No student to student contact
No contact between the photographer and student
No contact between the photographer and teaching staff
No orders/money needs to be returned to the school/nursery
Contactless School Photography Process
I have adapted our own custom barcoding process that I have developed for my Portrait Photography department for use within schools. I can now offer a contactless system by conducting the, ordering process solely online.
Ordering and Delivery Process:
Once the photo day has been completed, a proof card for each child will be issued and distributed in school. Each child’s proof card will be paired with a personal access code and their image and a weblink which will allow parents to access their child’s individual online gallery. The images will be available to view on my online secure password protected ordering system within 5 working days.
● Contactless ordering: All photos are ordered and sold completely online or by telephoning Claire Kelson Photography directly.
Photo packages that have been ordered are sent directly to and will be distributed by the school or nursery. All photo packages will remain untouched for 1 week from the printers before distribution.

Safety concept to keep families, teachers, and photographers safe/healthy
To protect all those involved, I will implement the following special occupational safety measures effective from May 2020. These measures will remain in place until the UK Government issues further guidance.
Notes:
These workflow measures specify and supplement the guidelines published by the Department for Education in the following three documents (as of May 2020):
○ Coronavirus (COVID-19): implementing protective measures in education and childcare settings ○ Actions for education and childcare settings to prepare for wider opening from 1 June 2020
○ Planning guide for primary schools
This workflow practice is based on recommendations from the UK Governments current and the Department for Educations developed in cooperation with industry experts.
General information:
● Instruction of employees: I regularly provide my employees with comprehensive information on all prevention and occupational safety measures that have been introduced.
● Dealing with suspected cases: Employees with respiratory symptoms or fever are released immediately and must consult a doctor as soon as possible.
● Cleaning of equipment: All my equipment is to be thoroughly cleaned before each photo day.
Preparation:
I will always work inline with GDPR. Please speak to Claire Kelson Photography for advice.
Photo Day and Behaviour on Site:
● Safe arrival: I will consult with you on how I can enter the facility in such a way that is neither disruptive to the school nor pose any risks related to social distancing (e.g. via a side entrance)
● Minimum distance: At work, we maintain a minimum distance of 2 metres from other people, especially children and the establishment staff.
● Distance during waiting period: I will need enough space to ensure that the waiting students maintain the 2 metres distance. We will provide temporary ground markers to show the students where they must stand while waiting.
● No Touch / Distance Posing: I will ensure that we can deliver the same quality of pictures by posing the children without breaking the 2 metres distance rule. I may require a staff member on hand to assist with younger children.
● All employees will be suitably dressed in PPE (Personal Protection Equipment) including non-latex gloves, face mask, and will have a supply of alcoholic hand gel and disinfectant wipes at hand at all times.
Alternative group photos: Unfortunately at this time I am unable to take group photos. If desired, I will make composite group photos from the individual portraits of the children instead. We have designed brand new composite group templates for the purpose of this pandemic. Please ask us for examples.
● Cleaning and hygiene: Our employees clean their hands regularly. Equipment used, any props used, and backgrounds are regularly disinfected between changing bubble groups.
● Fresh air breaks: If photographs are taken inside the establishment, we will ensure regular airing (if possible).
● Sibling shots will only be taken if all siblings involved are from the same bubble group.

Claire Kelson Photography do not hold any customers personal details.We do not hold names, email addresses, phone numbers or any such data.Any details provided voluntarily by a customer will only be used for the purpose the customer requires, will not be shared or divulged, and will be deleted on completion of their request. Payments are taken through third party providers Paypal and Stripes who do not share any details with us, and operate under their own GDPR policy.
